We are seeking a highly organized and detail-oriented Administrative Assistant for a role based in Cheltenham. You will play a crucial role in ensuring the smooth operation of the office and managing various administrative tasks. You will be responsible for maintaining excellent relationships with tenants, handling visitor inquiries, managing office supplies, and providing administrative support to the center management team.
Responsibilities:
- Manage day-to-day office operations efficiently, including answering phones, transferring calls, and taking messages.
- Act as the primary point of contact for visitors and tenants, addressing their inquiries and needs promptly.
- Maintain electronic office diary, monitor incoming/outgoing post, and handle filing tasks.
- Assist in producing monthly client reports using Word, Excel, and PDF.
- Handle administrative matters involving staff, tenants, suppliers, and statutory authorities.
- Generate and process sales and purchase invoices, ensuring accurate records and timely payments.
- Collaborate with the marketing team to support existing clients and drive sales revenue.
- Coordinate promotional activities, liaising with external partners and ensuring compliance with agreed terms and conditions.
- Monitor and control office expenses within budget constraints.
- Provide support to the wider team, including Accounting, Facilities Management, and Surveying teams.
Requirements:
- Recognized IT certificate.
- Proficient in Word 2000 Professional, Excel, and XP.
- Working knowledge of publishing software is a plus.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing tasks and responsibilities within the organization.
This is a Mon-Fri role, hours being 9-5:30.
